Event Operations & Venue Services

The Event Operations and Venue Services team at Yale Law School assists organizers in executing well-planned and efficiently managed events. We provide guidance on hotel accommodations, catering arrangements, registration system setup, and venue logistics, offering the support and expertise needed to ensure each event adheres to Yale Law School’s standards and is conducted with precision and professionalism.

We support the full scope of event logistics to ensure a seamless on-site experience, including room reservations, layout and flow planning, and event walkthroughs. Our team also provides guidance on signage and wayfinding, and can assist with coordination related to security, transportation, parking, and contingency planning as needed.

Advise catering and accommodations to fit the needs of each event, including recommending vendors and planning menus with dietary considerations. 

Provide information for preferred hotels or travel for guests and speakers. 

Help streamline registration and attendee communications by providing guidance on platform selection, templated emails, and check-in processes. Best practices ensure RSVPs and on-site tracking are handled efficiently. 

  • Recommendations for tools ranging from simple forms to advanced registration systems  

  • Tips for automating reminders and confirmations to reduce manual work  

  • Guidance on staffing and equipment needed for smooth check-in

Assistance with venue selection, such as local hotels, restaurants, and other event spaces. Available to join walkthroughs. 

Give guidance on setup and logistics for optimal flow and efficiency. 

Assist with budget creation and tracking. 

Provide runs of show templates and event checklists. 

Advise on vendor sourcing and cost recommendations.
